Final submission of papers

NEW! The deadline for final paper submission has been extended until August 24, 2014.

Official letters of acceptance for the authors of the accepted papers are available for download from PaperCept, following the instructions provided here.

Requirements for final submissions

The Proceedings of ICSTCC 2014 will be published in IEEE Xplore Digital Library, therefore all authors must follow IEEE Intellectual Property Rights guidelines and policies. Evidence of plagiarism (and even self-plagiarism) will result in paper withdrawing at any stage of the selection process.

All submissions will be tested for similarity and overlap with prior published material using the iThenticate tool.
The final version must pass the similarity test in order to be included in the proceedings. Please check the thresholds announced in the decision letter.

A similarity report is available for each paper.

  • Log in on, select the “author” role.
  • In your author workspace, move your mouse pointer over 'Choose an option' to open a menu with several useful options.
  • Select the link “Inspect reviews and decision letter”.
  • In the iThenticate Scan Results table, go to "iThenticate scan report" and select the link View the report. It will open the report in a new window or tab. You may need to turn off the pop-off blocker of your browser.
  • Several pages from the iThenticate User Manual with instructions on how to read and interpret the report can be downloaded here.
  • After the submission of the final version, a similarity report will be available for this version too. The authors are requested to inspect the report and verify that the similarity scores for the final version are below the thresholds announced in the decision letter.

The papers must be prepared using the A4 MS Word or LaTeX templates available at

In case that the final form of the paper has been prepared using LaTeX, and you get a warning regarding the margins of the PDF file, please download the correct LaTeX template from here.

Maximum 6 pages in double column format are allowed. Authors may upload longer manuscripts up to a maximum of 8 pages total. However, each page in excess of 6 will incur a charge of 50 Euros.


How to prepare the final submissions

  • Verify your PDF file on IEEE PDF eXpress using the conference ID 33755X, specified in the acceptance letter.
  • Log in on, select the “author” role.
  • Verify the file returned by IEEE PDF eXpress on PaperCept, using the link “Pdf-Test”.
  • Go to your author workspace and select the link “Submit the final version”.
  • If necessary, update the list of authors, the title of the paper and the abstract. Please make sure that all the authors of the paper are correctly indicated.
  • Upload the free-error pdf file returned by IEEE PDF eXpress.
  • Download the copyright form, fill in the necessary fields and upload the file .
  • Pay the registration fee.
  • Scan the proof of payment as PDF file and upload it to PaperCept.
  • Download the registration form, fill in the necessary fields and upload the file.


How to verify a paper on IEEE PDF eXpress

  1. Convert your file to pdf. The file can be also converted on IEEE PDF eXpress site, but it takes a lot of time. A free pdf convertor, CutePDFWriter, is available at
  2. Access the IEEE PDF eXpress site (
    • First-time users (without an account on IEEE PDF eXpress site):
      1. Click "New Users – Click Here".
      2. Enter the Conference ID 33755X (received in the acceptance letter), your email address and choose a new password.
      3. Fill the account form with the required information.
      4. Check that the contact information and click "Submit".
    • Previous users of IEEE PDF eXpress site, who are using the site for the first time to this conference:
      1. Enter the Conference ID 33755X, your email address and the password.
      2. When you click 'Login', you will receive an error saying you need to set up an account. Simply click 'Continue'. By entering your previously used email address and password combination, you will enable your old account for access to this new conference.
      3. You will receive online and email confirmation of successful account setup.
    • Returning users with an account for ICSTCC 2014:
      1. Enter the Conference ID (received in the acceptance letter), your email address and the password.
  3. For each conference paper, click "Create New Title".
  4. Enter identifying text for the paper (title is recommended but not required).
  5. Click "Submit PDF for Checking" or “Submit Source Files for Conversion”.
  6. Upload your file. You will receive an email confirming the successful upload.
  7. You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for Checking, the email will show if your file passed or failed.
  8. If any errors are detected:
    • Read the PDF Check report and click "The PDF Check Report" in the sidebar to get information on possible solutions. Some advices are also available at
    • Correct the errors and resubmit the PDF by clicking “Try again”, then “Submit PDF for Checking”.
    • Repeat the above procedure until all errors are solved.
  9. If no error is detected, download the attachment of this email.
  10. Go to and upload the free-error file returned by IEEE PDF eXpress as the final version of your paper. It is mandatory to not make any changes on the file built by IEEE PDF eXpress.

Copyright Transfer Form

You can download here the Copyright Transfer Form (CTF) you are requested to submit. The pdf contains form fields that you can fill in using Adobe Reader or any other similar software.Then upload your CTF using your PaperCept author account, along with the final version of your paper.
